Email Invites for External Collaborators

Direct email invitations are the most effective way to manage specific external partners within your project. This method allows you to grant individual access to stakeholders and maintain strict control over their level of interaction with your visual assets.

Sending an Invitation

To collaborate with an external partner, follow these steps within your project:

Navigate to the Share Tab: Click on Share in the top horizontal project menu.

Select Email Invites: Ensure the Email Invites sub-tab is selected.

Enter Recipient Information:

  • External Collaborator Full Name: Enter the complete name of the partner you are inviting.

  • Email address: Enter the recipient's professional email address.

  • Set Permission Level: Use the Select Access Level dropdown to define their role.

  • Finalize: Click the blue Invite button to send the automated invitation email

Tracking and Managing Invitations

Once invitations are sent, you can monitor their status in the list:

  • Managing Collaborators: You can monitor the status of your invites under Pending Invitations or manage existing partners in the Active Collaborators list. Use the Edit button to change permissions or the trash can icon to revoke access immediately.

The Collaborator's Experience

When your partner receives the invite, they will be prompted to join the project.

  • Security Code Requirement: If your organization has enabled strict security, the collaborator will see a unique 6-digit Security Code in their invitation.

  • Joining: They must enter this code and click Join Project & Collaborate to gain access to your visual workspace.
